Data teams within organizations often tackle complex projects with a variety of dispersed resources and structures. As the number of projects and team members grows, managing information becomes increasingly challenging. Therefore, consolidating information on a single platform is essential.

One platform that can be used for managing team knowledge is Notion. Designed for productivity and collaboration, Notion is beneficial for data teams as it functions as a note-taking app or project management tool, utilizing databases to manage tasks and collaborate with others.

This article will guide you on how to effectively manage data team knowledge using the Notion platform. Let’s dive in.

Knowledge Management with Notion

As mentioned, Notion is an all-in-one productivity and collaboration platform. It allows us to share knowledge while updating a project with other team members.

Let’s explore the platform to understand how we can use it. Once you sign up and log into Notion, you should see a screen similar to the one below.

You will be prompted to choose how you want to use Notion. For our purposes, we will use it as a team. Fill in the necessary information and invite all team members from your organization.

Once on the platform, you will see something like the image below.

These are the Notion platforms we can use to manage our work. When we select Notion for work, we see the Private and Teamspaces sections on the left side. We will explore Teamspaces for our work, but I will only briefly explain adding team members as this article focuses on knowledge management.

Projects and Tasks

Let’s start by setting up the Projects and Tasks page. We can add them manually, but Notion already offers many templates. Go to the Templates tab on the left side, select the Work tab, and then choose Projects and Tasks.

Add the template to your preferred team spaces, and you will see the pages are now online.

On the Projects and Tasks page, you can efficiently manage all the team’s work tasks. In the template, you can:

• Define the project name
• Add tasks for each project
• Set and modify task status, assignee, priority, and deadline
• Prioritize tasks and tag groups

Scrolling down, you can see database tabs where you can check active tasks, timelines, boards, and more.

On this single page, we can easily control all the important projects and tasks for the team.

For the data team, the Projects and Tasks page can also be used to manage data project administration and associated tasks. For example:

• Separate each data science project and describe project goals, data sources, stakeholders, and technologies used.
• Add a separate documentation link for each data project.
• List tasks for data collection, feature engineering, model training, and validation for each data science project.
• Assign each team member a task, with detailed descriptions of what they need to do.
• Provide links to the codebase and necessary learning materials for each task.

For example, here’s how we can have a data science project and its associated tasks on the Projects and Tasks page.

If you click on the project name, you can define the description of each project more clearly and embed all necessary links or files. For example, I created a new property to attach my documentation file.

It is also possible to have much more detailed information for each task. You can see the page below by selecting the side preview of each task.

We can add the necessary information to complete the task, along with all the resources needed. Additionally, we can comment on the task to facilitate collaboration and information sharing among team members.

This is a simple exploration of how data teams can benefit from the Projects and Tasks page. Let’s move on to providing a more detailed documentation page.

Documentation

Documentation is the heart of any data project. Without it, much information would be lost and difficult to transfer to other team members.

Having a separate page dedicated to documentation is a good practice, as we don’t want one piece of content to interfere with another. That’s why we create our documentation-only page.

On the left side, you will see a Team Wiki template we can use. Select it and choose Engineering Wiki as it is closest to data team work.

You can check out the Wiki documentation below once you have selected the one that fits your work.

You can organize all the technical information needed for your project or the entire team on individual pages as you see fit. For example, you can add your codebase for each project. Let’s take a look at one of these pages.

As you can see, the Notion Wiki template already provides a simple explanation for each page.

For data teams, you can add various elements related to data work, including:

• Data sources
• Machine learning model list
• Preprocessing techniques
• Data governance
• AI guidance

The Wiki is an excellent place for the team to consolidate all the knowledge they already have in one place.

You can combine the documentation Wiki page we have with the Docs page from the beginning.

This is a dedicated list of documents with all the information related to the document project.

In line with the above, we can also group all meeting information in one place using Meetings.

By combining all available pages, we can have a live Notion documentation that you and your team can easily access and manage efficiently.
